Graduate Program & Training Manager

I.  GENERAL SUMMARY:

The Clinical and Translational Science Institute was established to transform the scientific research process through education, collaboration and the providing of infrastructure services. Under the direct supervision of the Tufts CTSI Administrative Director, this position will provide the primary administrative support for the Clinical and Translational Science (CTS) Graduate Program and continuing education offered by the Tufts CTSI.

The graduate program has approximately 70 faculty and 20 students.  Students are fully trained physicians, individuals with clinical doctoral degrees (e.g. DDS, PharmD, DVM, etc.), or individuals with PhDs in health services fields who will be leaders in evidence based medicine and health services and outcomes research.

Tufts CTSI is expanding its educational offerings to internal and external professionals interested in translational science and select courses for public education.

II.  PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Manage the entire admissions process for the CTS Graduate Program including the processing and review of applications for completion and thoroughness. Establish candidate and faculty interviews, convene meetings and compile evaluations and generally keep files current. Coordinate all admissions tasks with the Tufts University Registrar's Office. Assist with the recruitment of new students.
  • In consultation with Program Advisors, determine academic year course schedule for the CTS Graduate Program.  Ensure availability of faculty for each course and semester, set the schedule for each course including books, space, time of day, and schedule with the Tufts University.
  • Manage and oversee each student’s participation and compliance within the Program ensuring that all requirements are met on an ongoing basis.  Will meet with each student/trainee to ensure their selection of mentors, thesis advisor, completion of projects, publications, grant writing, and job search.   Refer the students to faculty as needed for programmatic assistance.
  • Arrange Advisory Committee monthly meetings, Admission Committee meetings, and other meetings as necessary. Oversee implementation of action items that have resulted from these meetings including, but not limited to, coordinating the drafting of new policies for review.
  • Convene and manage, as appropriate, a committee or working groups of experts to develop new programs. Oversee implementation of action items that have resulted from these meetings.
  • Organize and oversee the implementation of special lectures in addition to annual events such as the Annual Fellowship Symposium. Invite speakers and manage meeting logistics and promotions.
  • Maintain the accuracy and keep all content current in promotional and educational materials. Submit content to the Senior Content Editor for the development of program promotional material and the Tufts CTSI website. 
  • In consultation with the Tufts CTSI Administrative Director and Evaluation Component, ensure design and/or implement program, faculty, and student performance and satisfaction evaluation measures.  Assess performance and make program adjustments as necessary.   
  • Collect and organize data on program participants, faculty, courses and program evaluation so that this information can be easily accessed and manipulated for proposals, program information, progress reports, and the like.
  • Work on an ongoing basis with Tufts CTSI staff, faculty, and other stakeholders to assess educational needs and provide assistance with all logistical and educational planning. Develop and implement an annual master calendar of events and ensure that these events are communicated to the Senior Content Editor for promotional purposes.
  • Work closely with the Distance Learning Manager to develop and implement technological solutions for web-based programs. Maintain web conferencing tools for remote learners.
  • In consultation with the Tufts CTSI Administrative Director explore and implement continuing medical education activities.
  • Keep the Tufts CTSI Administrative Director informed of all program urgencies and develop strategies to respond to unexpected events.
  • Provide administrative support for the development of new educational initiatives, including but not limited to joint programs with other Tufts Schools and faculty and external education programs.
  • Resolve a variety of student issues related to problems with classes, computing needs, and access to other educational resources.
  • Under the direction of the Tufts CTSI Administrative Director, develop policies, standard operating procedures, job manuals and other management systems that will provide the structure necessary for the success of the Institute

III. JOB REQUIREMENTS:

A.  Job Knowledge and Skills:

  • Strong interpersonal and management skills to interact with university and hospital leadership, physicians, fellows, and support staff. Highly professional manner with an ability to maintain sensitivity, confidentiality, and tactfulness.
  • Outstanding attention to detail required, strong organizational skills, and the ability to anticipate programmatic needs. Ability to lead and direct others by setting priorities for completing multiple tasks. Supervisory experience.
  • Excellent writing skills including the ability to draft and present program materials. 
  • To ensure successful operations of the Education Component, work proactively and positively with all levels of staff and instill the highest standards of practice.

B.  Education:

  • Masters in Education or equivalent required.

C.  Experience:

  • A minimum of seven (7) years management experience in directly related field in a university graduate program, research division, or academic hospital training program.

IV.  WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Normal office work environment.

V.  ORGANIZATIONAL RELATIONSHIPS:

  • Reports directly to Administrative Director, Tufts CTSI.
  • Frequent contact with trainees within the Program and other fellows at Tufts Medical Center and TUSM.
  • Frequent contact with faculty at Sackler and TUSM.
  • Frequent contact with Associate Dean, Registrar, and staff assistants at Sackler.
